Hey Guys! It’s about Microsoft’s mess in Microsoft Search. With the new update of Office 365 ProPlus – version 2002, an extension will be added to your Google Chrome browser. This extension sets Bing as your default search engine so that you get Microsoft Search built-in to all your search.

 

Feb 11 Update – Microsoft will no Longer Force Bing as Default Search Engine

Bing extension in Microsoft Search

After hearing customers’ feedback, Microsoft dropped a plan to force Bing search on Office 365 users, and it made the following changes in its plan.

  • The Microsoft Search in Bing browser extension won’t be automatically deployed for Office 365 ProPlus.
  • The administrator can opt in to deploy the browser extension to their ProPlus users through Microsoft 365 admin center.
  • In the future, Office 365 ProPlus will only deploy Bing extension in AD- joined devices if they opted in.
  • Microsoft will continue to provide end-users who receive the extension with control over their search engine preference. 

Due to these changes, the Microsoft Search in Bing extension won’t ship with Version 2002 of Office 365 ProPlus.

 

What is Microsoft Search in Bing?
  • Microsoft Search searches for People, Files, Calendar, Location, and anything inside Office 365 with a single search box. It is integrated into Bing’s search box when you login to your O365 account.
  • Microsoft Search is a Powerful functionality, when integrated into Bing, it combines web and work together. However, they should have suggested users instead of enforcing them to change the default search engine to Bing.

 

 

I don’t see many happy faces here. Don’t worry, there is a short time to prevent this before the version becomes live.

You can exclude the extension from being installed to Google Chrome by using the Office Deployment Tool or by using Group Policy. There are also ways to exclude the extension from being installed if you’re using Microsoft Endpoint Configuration Manager (current branch) or Microsoft Intune. You have around 40 days to take action.

 

How to disable default Bing extension in Google Chrome?

Act immediately. Once this extension gets installed the below methods wouldn’t work.

Windows Registry

You must have the latest Office Deployment Tool and ADMX templates if you wish to disable installing the extension.

Update the below in your registry.

[HKEY_LOCAL_MACHINE\SOFTWARE\Policies\Microsoft\office\16.0\common\officeupdate]
"preventbinginstall"=dword:00000001

You can quickly set this value using this PowerShell script.

 

Office Deployment Tool

If you use Office Deployment Tool, you can exclude using the ExcludeApp element in your configuration.xml. This method is best for new installations of Office 365 ProPlus.

Group Policy

To disable the extension from being installed, you can enable the Don’t install extension for Microsoft Search in Bing that makes Bing the default the search engine policy setting.

This setting is under Computer Configuration\Policies\Administrative Templates\Microsoft Office 2016 (Machine)\Updates.

Don’t find this setting? Update your ADMX file.

 

Configuration Manager (current branch)

If you’re deploying Office 365 ProPlus by using the Office 365 Client Installation wizard in Configuration Manager, you can set the Set default search engine to Microsoft Search in Bing toggle to the Off position in the Features section.

 

Microsoft Intune

If you’re deploying Office 365 ProPlus by using Intune, you can clear the Set default search engine to Microsoft Search in Bing check box on the Configure App Suite pane.

Office 365 Distribution Groups (aka Distribution List) are used to send emails or meeting request to list of people (both internal and external users), without having to add the email address individually each time. Distribution Groups are suitable when you need to broadcast information to a group of people, such as “People in the sales department” or “All people at your company”. Also, admins can add bulk users to distribution group based on their requirements.

 

How to Get Distribution Group Members?

Finding out who is members of which Distribution Group is always a tedious task. You can view Distribution Group members through Microsoft 365 Admin Center, but it is per user base. So, you need to click each group to view its membership which is time-consuming. Fear not! Your friend, PowerShell is here for the rescue. You can use PowerShell commands to export distribution list members to csv.

If your distribution group has dynamic members (users automatically assigned to a group based on some predefined conditions), you need to use different cmdlets to get dynamic distribution group members.

 

Export Office 365 Distribution List Members to CSV using PowerShell

We have written a PowerShell script to export Distribution List members to CSV along with most required attributes like Group DisplayName, Group Primary SMTP Address, Group Alias, Group Type, Group Owner (Managed By), Members Count, Members, Member Email, Member’s Type, and Users allowed to send email to the Distribution Group.

Exchange Online PowerShell cmdlet Get-DistributionGroup used to list all distribution group available in the tenant and Get-DistributionGroupMember used to list group members. Export-CSV cmdlet used to export the report to CSV file. A group can have many members and exporting them in a single line is not an aesthetic one.

To understand your Distribution Group membership better, our script will provide two output files.

  • Distribution Group Summary Report
  • Detailed Distribution Group Membership Report

Script Highlights:
  • The script uses modern authentication to connect to Exchange Online.   
  • Allows you to filter the report result based on group size(i.e., Members count).
  • The script can be executed with MFA enabled account too.
  • You can choose to either “Export Members of all Distribution Lists” or pass an input file to “Export Members of Specific Distribution List”.
  • You can filter the output based on whether the group accepts message from external senders or not.
  • Exports the list of allowed senders to a Distribution List.
  • Output can be filtered to list Empty group. i.e., Distribution Group without members
  • Exports the report result to CSV.
  • You can get members count based on Member Type such as User mailbox, Group mailbox, Shared mailbox, Contact, etc.
  • Automatically installs the EXO V2 (if not installed already) upon your confirmation.  
  • The script is scheduler friendly. i.e., credentials can be passed as parameter instead of saving inside the script.
  • Above all, script exports output in nicely formatted 2 CSV files. One with detailed information and another with summary information.

Let’s check the use cases in detail.

 

Get Members for a Single/List of Distribution Group

You can use –GroupNamesFile param to get members of a Distribution Group from the input list called “DistributionList.txt” and exports all membership into CSV.

To get members of specific Distribution List, pass an input file with a Display Name/ Alias/ Distinguished Name/ Canonical DN/ Email Address or GUID of groups.

./GetDistributionGroupMembers.ps1 -GroupNamesFile C:/DistributionList.txt

The GroupNamesFile must follow the format below:  Group identity separated by new line without header.

Get members for list of distribution group

 

Get Distribution Group Members That has more than ‘N’ Members

To filter result based on group members count, you can use –MinGroupMembersCount  param. i.e., You can get groups that have more than the specified number of members.

./GetDistributionGroupMembers.ps1 -MinGroupMembersCount 50

Above script reports all Distribution Lists that has more than 50 members.

 

Get Empty Distribution Groups

To get an empty Distribution Group (ie, Distribution Group without members), execute the script with -IsEmpty param.

./GetDistributionGroupMembers.ps1 -IsEmpty

Using this filter, you can identify and delete unused Distribution Lists available in your tenant.

 

Get Distribution List That Allow External User to Send Message

This value is retrieved from “RequireSenderAuthenticationEnabled” attribute. It allows you to restrict who can send emails to an Distribution List.

Using –ExternalSendersBlocked Param, you can filter the result based on the delivery option. I.e., you can get list of Distribution groups that allows/denies external users to send a message to that group.

To list Distribution Groups that allows external users to send message to that group, execute a script with –ExternalSendersBlocked $false

./GetDistributionGroupMembers.ps1 -ExternalSendersBlocked $False

To list Distribution Groups that doesn’t allow external users to send message to that group, execute a script with –ExternalSendersBlocked $true

./GetDistributionGroupMembers.ps1 -ExternalSendersBlocked $True

 

Get Distribution Group’s Authorized Senders

Getting Office 365 Distribution list’s authorized senders is a bit tricky as authorized senders are retrieved by correlating multiple attributes. You can get allowed senders from Get-DistributionGroup cmdlet, and the attributes are,

1. AcceptMessagesOnlyFromSendersOrMembers – Lists allowed senders

2. RequireSenderAuthenticationEnabled – This restrict senders who can send email to a Distribution group, i.e., whether a Distribution Group allows external senders or allows internal senders alone.

How to get allowed senders?

  • If the allowed senders’ list has values, group members will receive messages only from those senders and reject messages from everyone else.
  • When allowed senders list is empty, group members will receive messages from everyone based on ‘RequireSenderAuthenticationEnabled.’

To make it simple, our ‘Export Distribution List members’ script exports Distribution Group along with authorized senders.

 

Get more Granular Report

You can use multiple filters together, to get more granular report. For example, you can get members for a list Distribution Group that has more than 50 members

./GetDistributionGroupMembers.ps1 -GroupNamesFile C:\DistributionList.txt -MinGroupMembersCount 50

How to Add more Attributes in the Export File?

To add following attributes to Distribution Group members report, uncomment the comment section in the line 110 and 112.

  • HiddenFromAddressList (HiddenFromAddressListsEnabled) – Hide group from Global Address List(GAL).
  • Description – Short information about group.
  • CreationTime (WhenCreated) – Group creation time.
  • DirSyncEnabled (IsDirSynced) – Whether the group has directory sync enabled or not.
  • JoinGroupWithoutApproval (MemberJoinRestriction) – Shows whether owner approval is required to join a group.
    • Open – Anyone can join group without being approved by the group owner.
    • Close – Members can be added only by the group owner.
  • LeaveGroupWithoutRestriction (MemberDepartRestriction) – Shows whether the group is open to leave.
    • Open – Anyone can leave group without being approved by the group owner.
    • Closed – Members can be removed only by the group owner.

As administrators, we all know that every security mechanism has a weakness: A human error. 

This applies to many security attacks and the famous one is Email phishing. In this technique, an imposter/hacker sends an email such that it is sent from someone we know/trust with malicious links and using them to steal sensitive data like passwords. 

I know you will identify a phishing mail when Microsoft asks you to enter your password on random links. But, how about this one?

If I say this is a genuine delivery error by Office 365, many would believe. But sadly, it isn’t. The hacker has placed a Send Again button and trick you to resend an email which many would click. 

Once clicked, you are taken to a website which exactly looks like Microsoft’s. As a trick, the hacker has enabled SSL certificate to their website which makes us skip reading the URL. Entering your password will easily share your complete Office 365 account with the hacker.

After getting all the information, you will be taken to the genuine Microsoft website so that you don’t recognize what has happened before.  

How to protect yourself? 

  • Do not click any links directly from anyone outside your organization. If you find any links, copy the URL and verify the host before opening it. 
  • If you find any informative links that usually doesn’t require you to sign-in, open them in In-Private/Incognito window. 
  • If the email is from inside your organization and not from a known associate, use caution and follow the procedures considering it as external.  
  • If someone you know asks for some sensitive information in the email, make sure to contact them personally by calling so that you can make sure it is not the hacker emailing from your associate’s account. Hackers usually hack the weakest account in an organization and use them to exploit other employees. 

Some of the other most common phishing methods are: 

  • Sending you a password expiry email and asking you to enter your old and new password. 
  • Asking you to try out a new feature in Office 365 applications by signing in using the link in the email.

As an Office 365 admin, I always wanted to get a detailed analytics on how Office 365 services are used in my environment. It will help me to decide whether any users are facing any hiccups in accessing any of the services or do they need any training to get start with any of the Office 365 services.

Office 365 is lacking in this space for a long time. Now it seems Microsoft has committed to having a short plan to overcome this limitation. Recently Microsoft announced the limited preview of Office 365 Adoption Content Pack in Power BI.

Let me just dive into the available metrics in the pack. The metrics are split into four reports: Adoption Communication, Collaboration and Activation.

 

Adoption Reports:

These metrics will greatly help you to understand how your users have adopted Office 365 and its services. All the analytics can be seen separately for Exchange, OneDrive, SharePoint, Skype and Yammer. The following are the highlights of metrics available in adoption reports.

  • How many users have assigned a license?
  • How many users actively use the services?
  • How many are the first time users for this month?
  • How many are the returning users for this month?

 

Communication Reports:

This report provides detailed metrics about how the usage of different communication methods is used.

  • Average number of emails sent
  • Average number of Yammer posts read
  • Average amount of time spent using Skype
  • Which client apps are used to read email?
  • Which client apps are used to Skype?

 

Collaboration Report:

This report provides information regarding OneDrive and SharePoint collaboration.

  • How many users share documents externally
  • How many users share documents internally
  • How many users store documents in OneDrive and SharePoint
  • How many users collaborate SharePoint and OneDrive documents.

 

Activation Report:

Activation report helps you to get the number of activation of Office 365 ProPlus, Project and Visio. It gives you the following information.

  • Total activation counts across users
  • Number of users that have activated the products
  • The number of devices that has activated the products
  • The type of device that has activated the products

 

Usage Reports:

Usage reports are available for most of the Office 365 services. The links to these reports can be found at the bottom of the main reporting page.

Yammer Usage Report: It gives information like how many people post messages, how many consume content by liking or reading a message and new user activation

Skype for Business Usage Report: It gives the information like how many users leverage Skype to connect with others using the message or video conferencing and the Skype activity.

OneDrive for Business Usage Report:  Shows admins how users leverage OneDrive to collaborate with others. This report includes following statistics.
– How many users use OneDrive to share files
– File storage utilization metrics
– Active OneDrive accounts
– Average number of files stored in OneDrive

SharePoint Usage report: It shows how SharePoint team sites and groups sites are being used to store files.  This report includes following statistics.
– Active SharePoint sites
– Number of files stored on average

Office 365 Top User report: It helps admins to identify Office 365 power users and the products they are using.

 

How to sign-up for the preview program?

To get the limited preview of this adoption content pack, you need to send an email to  O365usagePowerBIPreview@service.microsoft.com and include your tenant ID.

Note:

  • Sign-up closes by October 16, 2016; and space is limited.
  • It will take 2-3 weeks to prepare the data. Once it is done, you will receive an email with instructions.

The adoption content pack will become available for all customers to opt in by the end of December.

What is Dynamic Office 365 Group?

What if your group always up to date based on certain properties of the user account, yes this is called dynamic office 365 groups.

The group membership of the most of the groups we use in day to day basis always depends on some of the user properties like department, city, office-location, country, manager, job title, etc., These are the strong candidates to fit in the Dynamic Office 365 Groups.

 

How long will it take to update the Dynamic Office 365 Group?

Microsoft confirmed that the dynamic group membership is usually updated within a minute.

This one-minute latency won’t be an issue because if we want to add the user to a group manually then it will take more than a minute of our time.

 

How easy is it to create Dynamic Membership for Groups?

Most of the time to access the advanced features always one need to use the PowerShell, but Microsoft provides nice GUI for creating dynamic membership for a group; with one condition, you need to have Azure AD Premium License to access this feature!.

Just in three easy steps.

  • Go to Azure classic Portal, Select Active Directory from the LHS, and then open your org’s directory.
  • Click on the Groups tab, and then select the desired group.
  • Now head to Configure tab, just turn on the ‘Enable Dynamic Membership’ switch, now you can define your simple membership condition easily.

Note:Microsoft has not provided GUI to view dynamic O365 groups’ membership. You can use the export dynamic distribution group membership to CSV PowerShell script to list available dynamic O365 group with its members and other necessary information.

 

Can I create a Dynamic Membership with complex rules.

Yes, you can.

Microsoft offers Advanced Rule option right under where you defined your dynamic membership condition. Currently, no GUI is available for framing the advanced rule, so one need to construct the rule manually with lots of commitment.

I always wonder why Microsoft releases half-baked features when it will just take few days of work to build a GUI for constructing the Advanced Rule.

What should I consider before switching to use new Dynamic O365 Groups?

There is no doubt it is the most needed feature for admin which will save you tons of hour which you can concentrate on more productive works.

But the single most important thing which you need to consider is the PRICING.

You need to have Azure Active Directory Premium license to use this cool feature. This license currently costs you 6$/user/month. Wel, the Azure Premium comes with some more cool features,  but if dynamic membership is the only thing you are going to use means you have to reconsider this option.

What is Email Spoofing?

E-mail spoofing is the forgery of an e-mail header so that the message appears to have originated from someone or somewhere other than the actual source. In simple words, email spoofing is the act of sending email on behalf of another user.

Is Email Spoofing Bad?

Email spoofing has both good and bad faces. Some malicious user may spoof the actual domain to send spam or phishing emails. Spoofing is a common way for getting the user credentials or credit card information.

In some cases, there are legitimate reasons for spoofing.

  • You are using 3rd party service to send bulk mail or to run any mail campaign.
  • You may be using an external company to handle the customer care on behalf of your organization.

What Actions Need to be Taken?

  • The admin has to ensure that the mail sent by legitimate spoofers doesn’t get caught by the spam filters at the sending and receiving end.
  • In the other hand, malicious emails need to be blocked. So the admin needs to disable unauthorized spoofing in the domain.

How does Spoof Intelligence Work in Office 365?

Customers who have Office 365 Enterprise E5 or have purchased Advanced Threat Protection licenses have access to spoof intelligence in the Office 365 Security & Compliance Center.

The spoof intelligence policy is already set and enforced by O365. We cannot disable it, but we can choose how much we want to actively manage it.

You can control which domain or user can spoof your domain by reviewing the existing policy applied in Office 365 & Compliance Center.

 

To manage senders who are spoofing your domain by using the Security & Compliance Center

  1. Go to the Security & Compliance Center.
  2. Sign in to Office 365 with your work or school account. Your account must have administrator credentials in your Office 365 organization.
  3. In the Security & Compliance Center, expand Security policies > Anti-spam.Screenshot showing the anti-spam settings page in the Security & Compliance Center
  4. In the right pane, on the Standard tab, expand Spoof intelligence.
  5. To view the list of senders spoofing your domain, choose Review new senders.If you’ve already reviewed senders and want to change some of your previous choices, you can choose Show me senders I already reviewed instead.   6. On the Standard tab, each row represents a sender that is spoofing one or more users in your organization.If a sender is spoofing multiple users, and you want to allow that sender to spoof some users but not others, on the Standard tab, select Choose users.Screenshot showing how to choose which users to allow a sender to spoofScreenshot showing multiple spoofed users by one senderTo add a sender to the allow list for a user, choose Yes from the Allowed to spoof column. To add a sender to the block list for a user, choose No. This brings up the Detailed tab with the list of users being spoofed split into individual rows so you can choose whether to allow or block the sender from spoofing each user individually.
  7. Choose Save to save any changes.

How to See Spoofed Email Activity for My Office 365 Tenant?

You can check the ‘Spoof Mail Report’ in your Security & Compliance Center to get the view of spoofed senders in your domain. You can quickly get a visual report of summary data, and drill-down into details about individual messages, for as far back as 90 days. You can check this in detail in this Microsoft TechNet blog.

A professional learning community, shortly PLC, is a group of educators who meet regularly to share expertise and work collaboratively to improve teaching skills and the academic performance of students. Teachers around the world have started using Office 365 Groups to make collaboration within a PLC a lot simpler and more streamlined. PLC groups are typically formed around interest areas (e.g., 9th-grade math), grade levels (e.g., 10th-grade teachers) or across subjects (e.g., science teachers).

Here are some barriers to engagement with PLCs today that Office 365 Groups is addressing:

  • Teachers can be isolated, time is severely limited and collaboration is difficult.
  • Professional collaboration tools are disconnected and don’t always support meaningful, sustained collaboration.
  • A challenge for many PLCs is extending the work and relationships in the times and spaces between physically coming together.
  • It can be difficult for new teachers to ramp up.
    Information is often stored in personal spaces as opposed to one common place that can benefit others.
  • New members need to better understand the journey, story, exploration and history of a PLC, its activities and areas of inquiry.

The new Office 365 PLC groups include one place to collaborate effectively in a community of practice. Each group comes with a:

  • Inbox for group email communication, including Connector for connecting your group to Twitter and following topics or Twitter handles that interest your PLC group.
  • Calendar for scheduling group events.
  • Document library for storing and working on group files and folders.
  • OneNote notebook for taking project and meeting notes.
  • Planner for organizing and assigning tasks and getting updates on project progress.

Microsoft released the preview availability of a new security analytics service called the “Office 365 Secure Score”

What is Office 365 Security Score?

Office 365 Security Score is a security analytics tool which will help you to quickly evaluate your Office 365 security settings based on industry standard and give you score for your security adoption. This tool additionally allows you to improve your security score by doing some recommended action.

How the Secure Score is Calculated?

First, the total available points for your tenant is calculated by accounting the services which are active or enabled in your tenant. Next, your tenant score is calculated by checking all the security settings applied to those services. Once both the point is calculated you get your Secure Score.

There are totally 77 security actions are identified and implemented in the current preview.

How to Access this Tool?

You can head to https://securescore.office.com to access this tool. You need to a global admin in order to use this tool.

More Features.

  • Target Score : It allows you to set your target score, and list out the necessary security changes that need to be applied to achieve that score.
  • Take Action  : Helping you figure out which actions to take to improve your score is the purpose of the Secure Score.
  • Compare Your Score : It allows you to compare your score with the O365 average score. The Office 365 Average Secure Score is calculated from every Office 365 customer’s Secure Score.
  • Score Analyser : It shows you the trend map of your score alone with the industry average. This data can be exported to PDF or CSV format.
  • Risk Assesment : It shows the top threats in the tenant and gives the particular configuration and behaviours.

When you try to create a new group in Office 365 Admin Center you will be  provided with 4 options.

  • Distribution lists : Allows you to send email to all members of the list. You can even allow people outside your organization send email to a list.
  • Security groups : Allows you to control access to OneDrive and SharePoint and are used for Mobile Device Management for Office 365.
  • Mail-enabled security group : Security groups with mailing option.
  • Office 365 groups :  This is  a great way for teams to collaborate by giving them a group email and a shared workspace for conversations, files, and calendar events.
In the above list, there will be always some confusion about Office 365 Groups as it is the new addition. Now let us see the benefits of Office 365 groups over Distribution lists.
1. Every Office 365 Group has a shared mailbox with a searchable history of email conversations within the group, so new members have access to all of the content and context that predates their membership
  • With a Distribution Group, new members only see discussions starting from when they joined
2. By default, Office 365 Groups are ‘public,’ i.e., discoverable for users within your Office 365 tenant. That makes it easy for people in your organization to search for a topic name and/or description and join any related groups.
  • Distribution Groups are often searchable by name only
3. Office 365 Groups provide a convenient self-service option for an organization’s users to create new groups, as well as join or depart groups
  • Creating Distribution Groups, as well as adding and removing members, is usually done by the organization’s Exchange administrators on behalf of the users.
4. Group members also have access to a shared calendar, document library, OneNote notebook, etc. for collaboration needs beyond email
  • Distribution Groups are designed for collaborating via email. Separate sets of manual steps are required to set up and use addition collaboration tools such as a shared calendar or a OneNote notebook.

It’s a Time for Upgrading your Distribution Groups

 If you are impressed with Office 365 Groups over Distribution Groups then it’s a time to upgrade your Distribution Groups to new shiny Office 365 Groups.

You can do this in Exchange Admin Center as shown above or you can do this bulk using powershell. You can get more information about upgrade in this Microsoft article.

Limitations

Currently, all the Distribution Groups can’t be upgraded to Office 365 groups. Check out the limitation as below.
  • Nesting – a Distribution Group which has another Distribution Group as one of its members
  • Moderation – messages sent to the Distribution Group must be approved by a moderator before they’re delivered to the members
  • Hidden groups in the Global Address List – Distribution Groups can be hidden, so that they don’t appear in the organization’s Global Address List.
